See at a glance which leads have gone quiet
Every lead now carries a small clock that turns from green to yellow to red as time passes since the lead last wrote in. Set the boundaries for your company, and start a cadence automatically when a lead goes quiet or comes back.
Every lead in QuickCasa now carries a small clock showing how long it has been since that lead last wrote in. Green means they wrote recently, yellow means someone should take a look, and red means they have been quiet past the point your company considers acceptable. You can scan a column of cards and see who needs a nudge without opening a single conversation.
Where to find it
The clock appears in the Last Activity column of the Leads table, on every card on the CRM board, and in the CRM quick view. Hover over it to see the status and how long ago the lead last wrote, for example "Needs attention: lead last wrote 2 days ago".
It only counts the lead's own messages
The clock measures from the lead's last message and nothing else. Replies from Casa, messages your team sends from the Inbox, and automated follow-ups never reset it, so a lead who stopped replying stays yellow or red no matter how many follow-ups go out. Adding a note or moving a card does not reset it either. The clock shows who you are waiting on.
Set your own boundaries
By default a lead turns yellow after 48 hours and red after 96 hours. To change that, open Company Info from Settings, go to the CRM Setup tab, and find the Lead Activity Clock section. Drag the two handles anywhere from 1 hour to 7 days and save the page. A Reset link puts the defaults back.
Start a cadence when a lead goes quiet
Follow-up cadences have three new triggers built on the clock:
- Needs Attention starts a cadence when a lead's clock turns yellow.
- Overdue starts one when it turns red.
- Re-engaged starts one the moment a yellow or red lead writes in again, which suits a welcome-back plan.
A cadence on Overdue is how you build "if a lead has gone four days without writing, text them and let the agent know". Each trigger fires once per silence, and a lead who writes in and later goes quiet again can fire it afresh. Needs Attention and Overdue are picked up by an hourly check, so a cadence can start up to an hour after the clock changes colour. Leads in a closed stage, such as Closed - Won or Closed - Lost, and archived or banned leads never start one, so a signed tenant who goes quiet is not sent a follow-up.
Good to know
The clock on its own never moves a lead, sends a message or changes a lead score. Nothing is sent until you build a cadence on one of the new triggers.
