Choose who sees each custom report
Custom reports on your dashboard can now be limited to certain teams or kept to yourself, and their numbers can be narrowed to each viewer's own lead flows. Sharing is managed from Manage Sharing on the Custom Reports tab.
Curated reports are the same for everyone. Custom reports are not, and each one on your dashboard can now be shared with as much or as little of the company as you want.
Where to find it
Open the Overview page, go to the Custom Reports tab and press Manage Sharing. Every custom report on the company dashboard gets its own section there, with two separate questions.
Who can see this report
- Everyone in the company is the default, and it is what every report added before sharing existed still does.
- Only certain teams limits it to the teams you pick, using the same teams you manage under Settings, User Management, Teams.
- Only me keeps it to yourself, which helps while you are still building something out.
Data shown
This is a separate question about the numbers, and it applies no matter who the audience is. The whole company means everyone who opens the report reads the same figures. Only what the viewer is assigned to narrows it to each person's own lead flows, the way the Leads page and the curated reports already behave. Two people then open the same report and legitimately see different numbers.
Because the two questions are independent, you can combine them freely: a report shared with everyone but scoped per person, or a report shared with two teams showing full company figures.
Worth knowing
Not every report can be narrowed per viewer. A report has to be built on data tied to a lead flow, which in practice means lead and property data. If you pick per-viewer data on a report built on company-level or website-level figures, saving refuses and tells you which part of the report is the problem, rather than showing company-wide numbers under a label promising per-person ones.
Two rules stop you locking yourself out: report admins can always see every report so they can manage it, and whoever added a report keeps sight of it even after narrowing its audience.
Report admins are set through the Report Library permission on a team, under Settings, User Management, Teams. Manage or higher makes that team's members report admins. Until a company sets that permission, nobody is a report admin and every custom report stays visible to everyone, exactly as reports behaved before.
