Automatic follow-ups after a meeting
A calendar can now send an email or text after the meeting ends, with separate messages for people who attended and people who did not show. Set them up in the Post-meeting follow-up section of the calendar editor.
Calendars have always sent a confirmation when somebody books, and reminders before the meeting. They can now send something after it as well.
Where to find it
Open a calendar in the editor and find the Post-meeting follow-up section. Follow-ups start empty, so you opt in by adding one. Each entry has three settings and an optional fourth.
- Trigger. Either attended, meaning anyone whose booking was not cancelled or marked as a no-show, or no-show, meaning the bookings an agent marked that way. A calendar can carry both, so it thanks the guests who turned up and wins back the ones who did not.
- Channel. Email or text.
- Delay. How many hours after the meeting ends it should send.
- Custom message. Optional. Left blank, a built-in template is used: a thank-you with a link to book another time for guests who attended, and a message with a link to book again for a no-show. A custom message is sent word for word, and any link in it renders as a button.
How it runs
Follow-ups are processed in the background every five minutes, and each entry sends at most once per booking. Because the no-show trigger keys off the status an agent sets, marking a booking as a no-show is what starts that message.
Worth knowing
This is the light version, and it suits a thank-you or a second chance to book. For a longer journey with several steps or branching, a cadence with the tour-booked and tour-no-show triggers remains the heavier-duty option.
