Add a team member who does not need to sign in

Not everyone who appears in QuickCasa needs a login. The agent leads get assigned to, the person tagged in notes, the manager a building lists for enquiries, or someone whose details are used in client variables can now be added as a full team member without an account. Go to User Management in the settings area, click Add New, then User without login.

What you get

Fill in first name, last name, email, phone and the Team they belong to. No email is sent. The member is created immediately and is a full team member from that moment:

• They appear in the Users list with No login yet in the access column, and their page carries a No login yet pill with an explanation.
• They can be assigned leads, tagged in notes, given calendar event types and bookings, added to boards and chat rooms, and used in client variables.
• Their email can be edited on their page, unlike a member who signs in. It is the address their future sign-in is matched on, so keep it as the one they will use.
• Nobody can sign in as them. The record has no password and no login of any kind.

Three things stop the add

So a seat is never created by mistake, the add is refused if somebody already signs in to QuickCasa with that email (send them an invite instead), if your company already has an open invite to that email (revoke it first), or if the person is already a member.

Claiming the seat later

When someone signs in with an email a company has added without login, their seat is connected to their account automatically. Their Team and permissions, the leads they were assigned, the notes they were tagged in, their calendar event types and bookings, their board and chat room memberships, and the client variables built from their details all come along. The No login yet label disappears.

This only happens once QuickCasa knows the email is theirs. Signing in with Google verifies the address on the spot. Signing in with an email and password sends a verification email first, signs the person back out, and shows a message saying a seat is waiting. Once they click the link and sign in again, the seat is connected.

The same person can be added without login at more than one company. They are one record behind the scenes, so when they sign in, every seat is claimed together.
